PHILOSOPHY

The St. Cecilia Extended Care Program is a school program supported as an extension of the school day. The parents are the child's primary educators, and the Extended Care Program cooperatively accepts participation with the parents in the child's growth. We strive to create a safe, warm, fun, and Christian environment that promotes a high self-image and positive attitude. Our program offers a special place for staff to share their unique qualities and talents while supporting children's academic and social skills development.

SCHEDULE

We are open every school day from dismissal until 6:00 P.M, & Fridays from dismissal until 5:30 P.M. Children who are absent or excused early are not allowed to attend Extended Care. This includes children invited to birthday parties or play dates. Once a child is dismissed or leaves campus, they cannot be signed into Extended Care. Any changes in the child’s schedule should be reported to the child’s teacher and program director in the morning. Parents must notify the program director in advance, regarding pick-up arrangements for play dates, practices, meetings, etc.

After signing your child out on the forms provided in the back of the auditorium, please alert a staff member of your child’s name and grade, and we will bring your child to you.

Please note TK/KINDERGARTEN Extended Care is from dismissal until 5:00 P.M.

Extended Care’s schedule is as follows:

  • Mondays-2:00 P.M-6:00 P.M.
  • Tuesdays-3:00 PM-6:00 P.M.
  • Wednesdays-3:00 PM-6:00 P.M.
  • Thursdays-3:00 PM-6:00 P.M.
  • Fridays-3:00 PM-5:30 P.M.
  • *Minimum days-12:00-6:00 P.M. Fridays-12:00-5:30 P.M.

PLAN AHEAD…SPECIAL SCHEDULES AND CLOSURES

  • Extended Care will open on Tuesday, August 19th Extended Care will be closed…
  • Wednesday, October 15th-Thursday, October 16th due to preparations for the Parish Festival
  • Friday, October 31st, EXC closes at 4:00 PM
  • Friday, December 19h, for Christmas Vacation
  • VIP Day, date TBD
  • Thursday, April 3rd, for Easter Vacation
  • Friday, May 29th, is the last day for TK and Kindergarten children to attend EXC.
  • Friday, May 29th, Ex. Care closes at 4:00 PM for Graduation.
  • Thursday, June 4th, Extended Care closes at 3:00 PM and is the last day for Gr. 1-7 to attend.

FEES

Families are responsible for the full-year program fee. The yearly cost will be divided into five payments:

August, September, November, January, and March.

These fees will be added to your Blackbaud Account, starting with the first payment in August 2025.

No reimbursements are given for withdrawals, absences, or early dismissals. Families who wish to remove their child from Extended Care must notify the Program Director in writing by the first of the month, providing 30 days' notice to cover the remaining fees. Fees already withdrawn will not be reimbursed. A $50 service fee applies for changes made within 30 days. Anyone who registers after the start of school will be responsible for paying an equivalent percentage of the annual fee.

Full-Time Care: 3-5 days per week

$3,200 for one child, $5,760 for two children, $8,320 for three or more children

Part-Time Care: 1-2 days per week

$2,000 for one child, $3,600 for two children, $5,200 for three or more children

Minimum Days 12:00~3:00 =$900 per year, per child

Monday Early Dismissal 2:00~3:00= $400 per year, per child

TK/KINDERGARTEN FEES Dismissal until 5:00 PM

Full-Time Care: 3-5 days per week

$2,700 for one child, $4,860 for two children, $7,020 for three or more children

Part-Time Care: 1-2 days per week

$1,500 for one child, $2,700 for two children, $3900 for three or more children

Minimum Days 12:00~3:00 =$900 per year, per child (1 payment)

Monday Early Dismissal 2:00~3:00= $400 per year, per child (1 payment)

DROP-IN

Drop-in is available for children registered in Extended Care. Drop-in status is for students who use the program five times or less a month and not on a consecutive basis. Students who exceed those days or use the same day weekly will be charged the yearly fee. Drop-in is on a first-come, first-served basis, and a 24-hour notice is required.

SCHEDULE CHANGES and CANCELLATION

Families who wish to remove their child from Extended Care or change their schedule must notify the Program Director in writing. Requests to cancel Extended Care billing on Blackbaud Tuition must be submitted in writing with 30 days' notice. Failure to provide 30 30-day notice will result in a $50 service charge. *Please note that the Extended Care Fee is an annual amount divided into five payments. Therefore, your child’s attendance for a particular month does not necessarily reflect that month's Extended Care fee.

ATTENDANCE CHANGE FEE

For safety reasons, you must inform the Program Director in writing of any changes in your child’s schedule. If a child will not attend Extended Care on their regular day, the teacher and Program Director must be notified by 8:00 AM. If the child does not show up for Extended Care and is on the attendance list, the family will be

contacted to confirm the child’s whereabouts. If a child shows up to Extended Care and is NOT on the attendance list, staff will escort the child to the school office, and the family will be contacted.

Please email Extended Care and the child’s teacher by 8:00 AM with any schedule changes. To report changes in the schedule after 8:00 AM, please contact the front office at 415 731-8400. Failure to comply with the above policy may incur a $25 service fee.

PROGRAM ATTENDANCE

  • A staff member will pick up children from class in grades TK-3rd grade. Students in 4th grade and above will walk with their class at dismissal and proceed directly to Extended Care. Loitering in the yard is not permitted. A staff member will sign the children in.
  • An authorized adult must sign out the child with their initials and time on the provided forms.
  • The enrolling parent(s) must approve all persons taking a child from Extended Care. Names must be included on the Emergency Card or in a written note or email. It is the parents' responsibility to ensure that the emergency contact card is up to date. The parent must pre-authorize new people sent to the school to pick up a child. New persons must be prepared to show identification. If identification cannot be made, the child will not be released. Phone calls or text chains between parents will not be permitted to release a child from school.
  • Children absent from school or excused early are not eligible to attend Extended Care. Once a child leaves campus, they are not permitted to enter Extended Care.
  • We need to be informed of any changes in your child’s schedule. Please email Extended Care and your child’s teacher by 8:00 AM with any changes (i.e., doctor’s appointment, early pickup time, etc.). Please call the school office with any changes after 8:00 AM.

SPORTS, AFTER-SCHOOL ACTIVITIES, and CHANGES IN SCHEDULE

Children participating in after-school sports or activities must have permission to do so. All children involved in any after-school activity (sports practices and games, music lessons, tutoring, Altar Servers, Student Council meetings, Kid stock, Chess Club, Art Club), must have a written note or email on fi le with the Program Director before they can be released from the program. Parents must pre-arrange for an authorized adult to escort children to and from the activity. This includes activities that are located on the school’s campus. We need a separate written notification from each parent. Emails that are cc'd to other parents will not be accepted. An authorized adult must sign out children attending practices or games in the Pavilion. Coaches have been very cooperative with this policy. The child will not be released without written permission from the parents. If your child is on campus and returning to Extended Care, an authorized person must sign them back in and alert a staff member. *Please note that children signed out of Extended Care attending an activity off campus may not return. Failure to comply with the above policy may result in a $25 service fee

LATE FEES

All children in TK/Kindergarten must be picked up by 5:00 PM, and children in Grades 1st through 8th must be picked up by 6:00 PM. Families who fail to pick up their child by closing time are subject to a late fee. Fees are $25 per child for the first 15 minutes and an additional $25 per child for every 15-minute increment beyond. The staff will call the parents or an authorized adult on the emergency card. Please be sure the person listed on the card can pick up your child within 20 minutes. *Failure to have your child picked up on time three or more times may result in an increased late fee or dismissal from the program.

MONDAYS and MINIMUM DAY CARE

Students who sign up for the Monday schedule from 2:00 p.m. to 3:00 p.m. and/or the Minimum Day schedule from 12:00 p.m. to 3:00 p.m. must be picked up by 3:00 p.m. Pickup after 3:00 p.m. will result in the above late fee policy. Parents who request their child stay after 3:00 p.m. will be billed for the annual part-time care fee.

ALLERGIES AND EPI-PENS Please list any food or medical allergies on the emergency card provided. Please list if inhalers or Epi-pens are stored in the school office. We also encourage parents to provide extra Epi-pens to store in the Extended Care office.

HOMEWORK/QUIET TIME

A supervised study session is provided daily for grades 1st-8th, except on Fridays. The staff will encourage and supervise homework assignments. However, it is the responsibility of the parents to check and monitor the completion of the child’s homework. Please be sure to fill out the HW form with the contract, so it is understood whether or not your child will participate in Homework Time. If a child is not doing homework, it is still a study environment, so we request that your child bring a book to read or a quiet activity book. Children in grades 4th-8th should have a book to read in their backpacks after completing homework.

TK and kindergarten children will have quiet/mindfulness time and story time in the back rooms by the kindergarten class while the other children do their homework. They will also have the opportunity to do art projects.

PLAY CLOTHES

Children in grades 1-8 may bring play clothes to change into. All children are expected to fold their clothes and store them in a bag inside their cubby. Please practice this procedure with your child at home. To help avoid losing clothes, please label all clothing, accessories, and shoes!

SNACK

A snack will be provided daily in the afternoon. Children are welcome to bring snacks and/or eat the rest of their lunch after school. On minimum days, all children are required to bring lunch. Hot Lunch meals are not provided on minimum days. Please be sure to list children’s allergies on the forms provided.

SERVICE FOR JUNIOR HIGH STUDENTS

At times throughout the school year, junior high students ask permission to leave Extended Care to provide service for teachers or to return to the classroom for additional help with work. This is a helpful privilege for both the students and teachers. Of course, there are rules to help keep the students safe. We allow students to leave Extended Care ONLY for these purposes. Students must ask permission to leave and record their whereabouts on the sign-out sheet. Students are not allowed to roam the halls of the school or to leave the school building at any time. Violation of this will result in loss of these privileges, dismissal from Extended Care, and/or discipline from the principal or assistant principal. Please sign the form provided, indicating that you permit for your child to do service or meet with their teacher during their time at Extended Care.

FUN FRIDAYS

On Fridays or designated days, children may bring toys or items from home to play with. Items may not be violent or noisy. Per the principal, students may not bring cell phones or devices that can connect to the internet to Extended Care to play games on Fridays. Extended Care is not responsible for any items that students bring from home to Extended Care.

DISMISSAL FROM EXTENDED CARE

Any of the following may result in dismissal from the Extended Care Program per School Leadership

  • Failure to pay fees
  • Willful failure on the part of the parents to provide, promptly, those forms requested
  • Actions on the part of the child that present harm to other children or staff
  • Lack of respect towards any child, staff person, or other parent
  • Physical or verbal abuse or harassment, aggression by any adult toward any child, staff , or other parents
  • Violation of cell phone and digital device policy
  • Violation of school and/or Extended Care policies
  • Theft, damage, or destruction of real or personal property at school
  • Failure to have the child picked up by 6:00 P.M., (or closing), three times or more
  • Lack of willingness by any student or the parents/guardians to comply with the policies of St. Cecilia School, as stated in the Parent Student Handbook.

The Extended Care Program is excited to create a fun, caring, safe, and warm environment where all children can play and grow to their full potential.
